The Complete Conference Room Buying Guide

A conference room only works if the table and chairs match how the room is actually used. Get the size wrong and you end up with a table people can't squeeze around, or a room that feels empty with six chairs lost in it. This guide walks through the decisions in order: capacity, shape, size, power, and seating, so you land on a setup that fits your space and your meetings.

Start With How Many People You Need to Seat

Table size follows headcount, not the other way around. As a rule of thumb, plan for about 30 inches of table edge per seated person, plus 3 feet of clearance behind each chair for walking room and chair movement. That works out roughly like this:

• 6–8 people: a 6' to 8' table
• 8–10 people: a 10' to 12' table
• 10–14 people: a 14' to 16' table (boardroom-scale)

If your room regularly hosts more people than it seats, don't oversize the table. Add nesting or stacking chairs along the wall for overflow instead. A table too large for the room is a bigger problem than a room with a little standing room at the edges.

Choosing a Table Shape

Shape affects both how many people fit and how the room feels:

Don't Forget Power and Data

Almost every meeting now involves at least one laptop and a video call. A table without built-in power means a floor full of extension cords. Matching Chairs to the Table

Conference seating splits into a few practical tiers:

Common Sizing Mistakes to Avoid

• Measuring the table but not the room. Leave at least 3 feet of clearance on all sides for chairs to push back and people to walk past seated colleagues.
• Forgetting the door swing and credenza. A table that fits the floor plan on paper can still block a door or a storage credenza along the wall.
• Buying seating separately without checking capacity. Count chairs against actual table edge length, not just "seats 10" marketing copy. Use the 30"-per-person guideline above for a more realistic number.
